PLEASE READ CAREFULLY

 

We respectfully remind all our guests that a reservation on payment of a deposit constitutes a contract subject to the Terms and Conditions below.

Failure to read the Terms and Conditions does not absolve guests from their responsibilities towards them.

 

We advise that insurance cover be taken out at the time of booking to cover any eventualities relating to a cancellation, shortening, postponement or bringing forward of your booking.

 

 

Arrival, Check-In/Check-Out and housekeeping

Check-in time is between 5.00 pm and 7.00 pm (1700 hrs and 1900 hrs). If arrival after 7.00 pm (1900 hrs) is anticipated or a possibility, then do please let us know at the time of booking.

 

Not being a hotel with a 24-hour receptionist but a family run B&B instead, arrival and check-in after 9.00 pm (2100 hrs) is by prior arrangement only, at least a day in advance.

 

Check-out is by 10.30 am (1030hrs).

 

Please note we request guests to vacate their rooms between 10:30 am and 1:30 pm (1030 hrs and 1330 hrs) to allow for housekeeping.

 

 

Payments

We accept payments by cash or credit/debit cards. Payment by debit card is free. However, payment by credit card and international debit cards (not UK debit cards) will incur a surcharge of £2.50 per ‘one-night’ payment per room.

This surcharge of £2.50 per ‘one-night’ payment per room also applies to refunds to credit cards in the event of a cancellation.

 

 

Cancellation Policy

Cancellations are subject to the charges listed below. Once again, we advise that insurance cover be taken out at the time of booking to cover any eventualities relating to a cancellation, shortening, postponement, illness or bringing forward of your booking.

 

Days prior to your stay — Cancellation charge

More than 30 —————- 20% of deposit
15 to 30 ———————– 50% of deposit
8 to 14 ————————- 100% of deposit
2 to 7 ————————— Full cost of planned stay

 

For cancellations over Bank Holiday weekends, Easter, Christmas & New Year, we reserve the right to charge you the full cost of your proposed stay.

 

We regret that a shortening, postponement or bringing forward of your booking will technically count as a cancellation of the original booking (and subject to a cancellation charge as detailed above) and the making of a new one.

 

Cancellation charges are not inclusive of credit card charges.

 

A ‘no show’ counts as a cancellation.

 

 

Deposits

As a general rule, we ask for a deposit up front to firm up a booking.  We accept deposits by card over the phone.

 

When we have received card details to support a booking, we block the room(s) off then confirm the booking by email once we have taken the deposit off your card.  We generally try to do this within three days of receipt of card details.

 

Email addresses given to us by you over the phone may occasionally be subject to some error, despite best efforts on both sides. In this case, if you have not received a confirmation email within seven days of your deposit payment please contact us to confirm all is well.

 

In general, the deposit amount is linked to the length of your stay as detailed below:

 

Proposed length of stay — Deposit amount

4 or more days ————— 2 night’s equivalent
1 to 3 days ——————– 1 night’s equivalent

 

 

Non-Smoking

Smoking at Oakthwaite House is now against the law.  Please note that in the event of any breach of this, we reserve the right to report the guest(s) to the authorities; the guest will also be asked to leave immediately.

 

Of key note, E-Vaping or any derivative of, is also not allowed within this establishment.

 

Furthermore, the guest(s) responsible will be liable for professional cleaning costs in addition to the balance of the cost of their proposed stay.

 

 

Damage

We reserve the right to charge guests for cleaning, repair and/or replacement costs as a result of damage to any item or part of our property.

 

 

Groups and group bookings

The person co-ordinating the booking will be regarded as the group leader and will be the point of contact.  The group leader will be responsible for ensuring that all information relevant to the booking is passed on to all group members.

 

Oakthwaite House does not have a guest lounge.  With this in mind we would ask that groups avail themselves of the numerous pubs and restaurants in town only a 5 minute walk away to socialise.

 

We require that groups do not congregate and more specifically, socialise in rooms.

 

For final payment we will prepare one bill/receipt for the group with room rates broken down, and present this to the group leader.

 

 

Other

We reserve the right not to accept your booking.

 

In extreme and rare circumstances we reserve the right to cancel your booking or accommodate you in a different room to the one you booked. In these instances we will try to give you as much advance notice as we can, give you a full refund as appropriate and help with contact details of other B&Bs as necessary.
